Terms & Conditions
Last updated September 2, 2026
These Terms & Conditions (“Terms”) govern a school's access to and use of Pensbase. By creating a school on Pensbase, or by using an account on a school's Pensbase portal, you agree to these Terms.
1. The service
Pensbase is a school management platform. Each subscribing school receives its own branded portal on a dedicated subdomain, with tools for admissions, timetables, attendance, results, payments, and related school operations.
2. Accounts and access
Access to a school's portal is invitation-only, except for prospective applicants who may register their own account to apply for admission. One email address may be associated with one account on one school at a time. A school's Proprietor and the officers they appoint (Head Teacher, ICT Admin, Bursar) are responsible for who is invited and what access they hold.
3. The school's responsibilities
- Ensuring the accuracy of records entered into the platform.
- Obtaining any consent required from parents or guardians before entering a student's personal information, in line with applicable law.
- Keeping staff accounts and access appropriate to each person's role.
- Using the platform only for legitimate school administration.
4. Fees and payment
A school's setup fee is one of the pricing tiers published on our pricing page at the time of signup, agreed with our team before onboarding begins. Beyond that one-time setup cost, Pensbase charges per student based on the resources and features the school uses — there are no maintenance fees or undisclosed charges beyond what is agreed.
5. Payments processed through the platform
Where a school accepts online fee payments through Pensbase, those payments are processed by Paystack and/or Flutterwave under their own respective terms. Pensbase records the resulting transaction but does not itself hold or move school fees.
6. Acceptable use
The platform may not be used to store or transmit unlawful content, to attempt to access another school's data, to circumvent the role-based access controls, or to interfere with the platform's normal operation.
7. Data ownership
A school owns the records it enters into Pensbase — students, staff, results, payments, and everything else. Pensbase acts as the platform and processor that stores and operates on that data on the school's behalf, as described in our Privacy Policy.
8. Availability and support
We aim to keep the platform available and promptly address issues, consistent with the support terms agreed for a school's pricing tier. Planned maintenance may occasionally cause brief interruptions.
9. Termination
A school may stop using Pensbase at any time. We may suspend or terminate access for a school that breaches these Terms, including for non-payment or unlawful use of the platform. On termination, a school may request an export of its data within a reasonable period.
10. Limitation of liability
Pensbase is provided on an “as is” basis. To the fullest extent permitted by law, Pensbase is not liable for indirect or consequential losses arising from use of the platform.
11. Governing law
These Terms are governed by the laws of the Federal Republic of Nigeria.
12. Changes to these Terms
We may update these Terms as the platform evolves. Material changes will be reflected by updating the “Last updated” date above.
